The Role

We are seeking a dynamic and proactive Executive Assistant to the Founder & CEO to join our vibrant team in our three-story office in Singapore’s town area. This role sits at the centre of how the company runs. You will be the operational backbone behind our Founder and CEO—managing her world with precision, warmth, and good judgment. At the same time, you will keep the physical office running smoothly, step in wherever the day requires, and ensure that nothing important falls through the gaps.

This is a dual-function role as the EA and Office Manager. We are looking for someone who is equally comfortable preparing a briefing note and dealing with the office admin matters — and who takes both with equal seriousness.

This role requires presence, initiative, and the ability to shift registers without missing a beat.

Key Responsibilities

Executive Administration

  • Manage the CEO’s professional and personal calendar — meetings, family appointments, and personal commitments
  • Prepare briefing notes, agendas, and minutes; distribute action items and follow-up communications in her voice
  • Handle inbound requests, speaking invitations, and enquiries on her behalf; liaise with external contacts with discretion
  • Prepare CEO decks – internal and external
  • Support board, EXCO, and subcommittee engagements; track open actions across key relationships
  • Manage personal logistics including travel, driver coordination, gifting, and ad hoc errands
  • Provide logistical support for House of Motion and internal team events

Office Management

  • Ensure the office is consistently clean, well-stocked, and presentation-ready, including meeting room setup and vendor coordination
  • Handle supplies procurement and support setup for internal occasions

Ideal Candidate Profile

  • Minimum 5 years’ experience as an EA, PA, or in a senior administrative role supporting a C-suite executive directly
  • Exceptional written English—you write clearly, concisely, and can adapt your tone to match a senior executive’s voice
  • Strong organisational instincts—you track multiple moving parts without losing sight of what matters
  • Discretion and good judgment — you will be handling personal and confidential matters as a matter of course
  • Presence and initiative—you notice what needs doing and do it without being asked
  • Warmth and professionalism—you can hold a room, manage a relationship, and represent CEO well
  • Comfort with ambiguity—priorities shift, and you adapt without friction
  • Proficiency with standard business tools: calendar management, document drafting, presentation software

Advantageous

  • Experience in events, hospitality, or agency settings
  • Experience managing office facilities, vendor relationships, or building management
  • An eye for design or visual presentation—not required, but noticed
